Lesson 1B – Organising Meetings

Meeting Preparation

In this class you’ll learn how to call and setup a meeting with a colleague, a group or potential clients. To prepare for this class, think about the different types of meetings you have, with whom and where. If you want to practice some specific scenarios, make sure to think about these before your class.

Organising meetings involves a number of steps:

  • Introduce yourself – Good Morning, this is ……  or Hi, my name’s ……
  • Explain why you want to meet – I would like to invite you to meet with …. or Are you free to meet up …
  • Suggest a time and location – Would you be available to meet at (time) at … or What time works best for you? I’m free from X to X on (day)
  • Confirm the goal – The main purpose of this meeting is to agree/discuss/confirm/review… or It’ll be great if we can discuss/review/confirm…
  • Finalise the arrangements – I’ll send a confirmation email today but, please get in touch if there are any problems or I’ll send through a meeting invite, just let me know if anything changes.

Here are some suggestions to help you:

  • Sorry, I didn’t catch that…
  • Can you repeat that, the line cut out.
  • Sounds good. How about …?
  • That works for me.
  • Unfortunately I’m tied up until…
  • I’m available/not available at/on …
